How to Build Assemblies in QuickBooks

Learn how to assemble stock parts into one Item. For example, to build a car there are items that are joined together in order to achieve the goal e.g. Engine, Tire, Chair, Side Mirror etc.

The following steps explain how to assemble stock parts to a particular item using ‘CAR’ as an example.

1) Setting up the stock parts in QuickBooks.

Click ‘List’ at the menu bar and select ‘Item List’ from the drop down list

Click ‘Item’ at the bottom of the window and select ‘New’ from the drop down list

2) The ‘New Item’ window 

The image below shows the list of stock parts created.

Before the car is built, the stock parts needs to be purchased.

3) The ‘Enter Bill’ window is used to purchase the items.

Click ‘Suppliers’ from the menu bar and select ‘Enter Bills’ from the drop down list.

The ‘Enter Bills’ window below appears. Click the supplier from the drop down list. Here, ‘Olacrown Motors Ltd.’ is selected.

Select the items from the ‘item tab’ fill in the quantity and the cost.

Click 'OK' after filling in the necessary information.

4) The following steps explain how to assemble the items created in QuickBooks.

Click ‘Suppliers’ at the menu bar and select ‘Stock Activities’ from the drop down list, another drop down list appears after clicking ‘Stock Activities’. Click ‘Build Assemblies’ 

The ‘Build Assemblies’ window below appear. Click the drop down arrow in order to build the assembly.

Click ‘Add New’ from the drop down list.

The window below appears.

A: Click the drop down arrow and select ‘Stock assembly’ from the drop down list

B: Enter the name of the assembly in the box

C: Click in order to select the stock parts created for the items.

D: Fill in the sales price

E: Click the drop down arrow in order to select the income account from the drop down list. 

The ‘Full View’ window below appears.

A: Click the drop down arrow and select the items created for the Toyota car

B: Fill in the quantity of the items for the assembly.

Click OK after filling in the necessary information.

5) After filling in all the necessary information, the window below appear filled with the information. 

A: QuickBooks tells you the number you can build from the quantity on hand.

B: set the date or leave default

C: Enter the number of quantity to build in the box

D: Click ‘Build & Close’ when done.
